Export Billing Executive Officer

We are currently hiring an Export Billing Executive Officer to join our Finance & Accounting Department. The ideal candidate will manage export billing processes, ensure timely payments to freight companies, and maintain accurate financial records. Duties and Responsibilities:

• Update Mate Receipt & Transfer DOs for rebate accrual to F&A on Export Module
• Check payment invoices upon receiving and raise objections if any extra charges are found
• Prepare freight memos and other payments related to shipping companies and consolidators within 24 hours of receiving invoices
• Create SPOs and Work Confirmations on Oracle after preparing freight memos and email F&A for cheque preparation
• Collect Transporter’s & Clearing Agent bills within 10 days of every fortnight
• Forward Transporter’s & Clearing Agent bills to the concerned team within 24 hours, collect them back within 2–3 days with remarks, and submit to F&A within 3–4 days for payment
• Forward factory detention sheets to Central Logistics within 24 hours of receipt, obtain remarks from logistics locations within 2 working days, and send to F&A for payment after final checking within 3 days
• Develop lean culture to achieve at least 80% in the Lean Assessment Index
• Maintain a minimum 90% score in 5S audits as per the evaluation yardstick
• Update exchange rates in Oracle/Export Module daily in the morning
• Ensure 100% timely email response within 24 hours of receiving emails
• Update the freight rate sheet and send it for Management’s approval by the 10th of every month
• Obtain freight rates from multiple forwarders and prepare comparisons to secure better rates
• Update register controlling sheets daily as Transporter/Clearing bills are received
• Update cheques received from F&A in the Export Module to maintain freight payment records for forwarders/consolidators
• Check EOU from Export GD, highlight corrections if required, and coordinate with the clearing agent
