- Informing all related staff about admitted patients
- Assisting patients with transfers to Radiology and for G.A Fitness
- Maintaining patient admission and discharge records
- Sending food requisitions to Food Services department
- Verifying patient admissions according to the bed wise system
- Assisting with patient shifting to OT
- Receiving external calls and giving messages
- Maintaining records of Accommodation Request Form
- Providing follow-up appointments with medication prescriptions
- Coordinating with patients for surgeries and admissions
- Liaising with O.T management regarding correspondence
- Completing surgical coding in electronic patient information system
- Monitoring elective surgeries
Duties and Responsibilities:
- Tend to patients, visitors, and healthcare professionals politely and efficiently, addressing queries tactfully and discreetly
- Answer telephone inquiries, take messages, and screen calls for medical staff
- Communicate with emergency services when required for patient care
- Liaise with supervisors to ensure adequate stationery and printer consumables are maintained
- Schedule and organize appointments for patients, obtaining accurate information from health providers
- Schedule follow-up appointments as recommended by consultants
- Ensure all relevant paperwork, including appointment letters, is completed to the highest standards
- Ensure effective day-to-day operation of the reception area by maintaining administrative resources
- Ensure the reception desk and waiting areas are maintained in a presentable manner
- Assist patients/attendants in being sent to the Patient Welfare department as per request
- Participate in the administration of the electronic patient information system
- Update patient information in the HMIS system
- Prepare daily audit reports for the electronic patient information system and monitor amendments
- Maintain confidentiality and exercise discretion in relation to all hospital matters
- Facilitate patients referred to other hospitals by arranging appointments and transport
- Perform any other duties as assigned by the Supervisor/Head of the Department
- Ensure all patients’ vitals are checked in consulting clinics
- Ensure new patients are registered as requested by the Consultants
- Provide medicine to patients on order of Consultant as a special case
- Generate pharmacy requisitions in the inventory system, maintaining a record of medications
- Block/reschedule appointments when consultants are unavailable or OPD is canceled
- Direct patients to the triage room as required in emergencies
- Issue admission numbers and visitor passes to patients
- Schedule follow-up appointments of consultants in case of referral by ER doctors
- Ensure bed management in case of bed unavailability in ICU, CCU, or wards
- Discharge the patient after advice of the duty doctor and receive visitor passes
- Coordinate, collect, and distribute case notes, reports, and other relevant information
- Be an integral part of the counter disaster plan of the hospital and attend relevant meetings
- Collect and arrange registration cards from patients in Lab & Radiology
- Ensure the daily appointment limit is maintained for all tests and procedures
- Generate Investigation Requisition Slip (IRS)
- Coordinate with Sonologist/Radiologist as required
- Coordinate with Radiology clerks to provide a link between patients and x-ray technicians
- Ensure all reception keys are submitted and re-issued at the main Reception or OPD reception
- Ensure allocation and preparation of beds at the time of admission in Wards
- Receive patients in wards and take them for weight and identity bands
- Inform all related staff about admitted patients
- Assist patients in sending to the Radiology department and for G.A Fitness.
- Maintain patient admission and discharge records; assure patients are discharged upon authorization from doctors
- Send food requisitions to the Food Services department for all admitted patients with NPO remarks
- Verify patients are admitted according to the bed-wise system on a daily basis by HMIS
- Assist with the shifting of patients to the OT when requested by OT staff
- Receive external calls and give messages to respective patients
- Maintain records of Accommodation Request Forms
- Provide follow-up appointments to patients with medication prescriptions
- Coordinate with patients in the wards and the Admission Office for surgeries and admissions
- Liaise between the O.T management regarding the distribution of mail, files, and all correspondence.
- Complete surgical coding in the electronic patient information system
- Monitor elective surgeries
